Volunteer Sign Up Meet #1 Notification & Expectations

Our first swim meet is quickly approaching! Below is important information, reminders, positions and requirements to make our meets run smoothly. THURSDAY (May 25th) starting at 12:00pm, the system will open allowing you to choose your volunteer position for the first meet against Arbor Bridge on Tuesday, May 30th @ Arbor Bridge. Please be reminded our signup works on a first come first serve basis so get your choices in early. Also please know that we hate having to track down those that don't sign up, our swim team is successful because of volunteers, so please make sure you sign up for the requirement. Every parent will need to volunteer at swim meets to ensure they run efficiently. Our meets are usually finished by 10:30 pm. (5&6 year olds will finish around 8:30 pm) Volunteers need to check-in at volunteer table upon arrival.
For each swimmer you have swimming in a meet, you will be required to volunteer for ½ of a meet (1 point job). This means if you have two children, you have to either work the full meet (2 points) OR you and your spouse/significant other/nanny/etc. each have to volunteer a ½ meet. If you have one Bullpen aged child (12-under), you MUST work a Bullpen job for at least 2 of the meets per season. Those with two or more Bullpen aged children need to work Bullpen at least 4 meets. It is essential to run our meet smoothly with enough parents to get kids to events on time and it also eliminates volunteers working in a Bullpen when they don’t have kids there.
Volunteer Signups will be done one our website prior to each Swim Meet. An email will be sent out notifying you when it will open - usually it will open the Wed prior to a Monday meet. At that time, you will be able to go onto the website and choose your volunteer position for the upcoming Tuesday (1st meet)/Monday night swim meet. Sign up early to get your desired position. If at 8pm on Friday night your family has not signed up for a position and you are wanting your child to participate; you will receive an email or text from us giving you 12 more hours to find a position to fill. If you fail to sign up by 8pm Saturday after that final reminder, your child(ren) will not be allowed to participate in the meet that week. Please be reminded we have the right to switch your position to fill in gaps if necessary. We will do our best to alert you if this happens but please continue to check your volunteer positions up until the meet arrival time. Thank you in advance for your flexibility and willingness.
Volunteer Positions:
Timer: requires being on your feet for long periods of time. You will receive a stopwatch, clipboard and brief training before the meet. Start the watch at the horn, and end it when the wall is touched. Record times and repeat for the next swimmer.
Meet set up (home meet only): Move and stack deck furniture around the baby pool. Assist in putting up backstroke flags and starting blocks. Assist with parking signage and bullpen setup. Rope off water slide and put up bridge over water slide. Set up starts at 4:00 and needs to be completed by 4:45.
Meet clean up (home meet only): Requires reversing set up duties. The pool needs to be put back in place, as we found it, ready for the neighborhood to use the next morning. All trash needs to be taken out to the trash cans.
Place judge: a sitting job. Requires calling and recording the order of completion of the race with a Place Judge from the opposing team. Place judges are at both the shallow and deep end.
Concessions & Griller (home meet only): requires selling food and drinks. Grillers cook hot dogs and hamburgers. If your child is swimming, let the other volunteers know so you can go watch their race.
Score Keeper: Computer job to enter meet results. This position requires training. If you are interested, please let the volunteer coordinators know.
Runners: requires picking up the timer sheets (from our team’s timers only) after each event and taking them to the scorekeepers table. You will be on your feet and moving for the entire half.
Starter: requires standing the whole meet and starting each race (Take your mark, air horn). Starters must take the starter class, offered by the county, in order to be certified as a summer league starter. We are looking for new starters, so let us know if you are willing and interested!
Announcer (home meet only): Announce event and heat starts and general announcements over PA system.
Event Turner (home meet only): Maintain event board during the meet by flipping the event and heat cards.
Bull Pen: 12 & under swimmers are required to stay in their assigned bullpen. Signs are posted indicating where these areas are located. Bull Pen volunteers line swimmers up for their events and escort them to the starting blocks. It is helpful to bring coloring sheets or activities to help occupy younger swimmers in bullpen. Make sure swimmers have events written on their arms and names are on their backs. Have fun!
