Hammerhead Families,

We are quickly approaching our first swim meet so we wanted to take the opportunity to introduce ourselves as well as share some big changes for our Parent Volunteers this season.

As most of you know, it takes a small army of volunteers to run a successful swim meet. In years past we have assigned parents to volunteer positions for meets. This year we have a new swim team website we will be utilizing to assist with this big job.

Our new Swimtopia website allows you as Parent Volunteers to SIGN UP FOR YOUR OWN JOB. Volunteer signups will OPEN on Thursday nights at 8pm the week prior to the scheduled swim meet. This means that our first Volunteer Signup will begin this Thursday, May 24th at 8pm for the Away Swim Meet vs. Dorset on May 30. A link to the Volunteer Signup will be available on the team home page at https://nhhammerheads.swimtopia.com/ at 8pm on Thursday.

Volunteer signups will close at 8pm on Sunday prior to the swim meet. If at 8pm on Sunday night you have not signed up for a position and your child is planning to swim, you will receive an email from us giving you 1 more day to sign up. If you fail to sign up by 8pm Monday after that final reminder, your child(ren) will not be allowed to participate in the meet that week. 

Each volunteer position listed on the website will be assigned a point value of 1 or 2. Jobs that are 1 point are half meet positions, while 2 point jobs last the full meet. For each swimmer in your family, you are required to fill at least 1 point per swim meet. For example, if you have two children swimming at the Dorset meet, you will need to fill 2 position points for that meet. One parent could sign up for a 2 point position, or you and a spouse could each sign up for 1 point positions for a total of 2 points. We know there may be emergency situations that arise and we will do our best to work with you in those cases.

As job sign ups are on a first come first serve basis, we highly encourage you to set a reminder for Thursdays at 8pm so that you can get your desired position(s).

If all positions are filled before you are able to sign up, you will be put on a stand-by list to fill in where needed. You will still be considered a Volunteer and need to plan accordingly.

There is no guarantee that the job you signed up for will be the one you will work. There will be circumstances where we will need to move people at our discretion.

Please keep in mind this is new for all of us and there are sure to be glitches and a few challenges along the way. Your patience and understanding is greatly appreciated. We love our volunteers!
